Data sources

Migrate your CRM to HubSpot from wherever you are

Every system stores data in its own way. We know their exports and their APIs, and we adapt the method to the volume and quality of what’s there.

The real risk

What gets lost in a migration isn’t the contacts

Exporting a CSV and uploading it to HubSpot is easy. The hard part is keeping what gives the data its value: which contact belongs to which company, which deal was at which stage, what was discussed with the customer two years ago and which automation triggered each alert.

That’s why every HubSpot migration we run works from a documented map of objects, fields and relationships. We migrate with source IDs so the process can be repeated without creating duplicates, and we rehearse the full load in simulation mode before the final cut-over.

Our rules for every migration

  • Nothing is deleted from the source system until you validate the result
  • Every migrated record keeps its original ID
  • A full dry run before cut-over
  • Record counts and cross-sampling between source and destination
  • A cut-over date agreed with sales and finance

Cut-over plan

How we migrate without stopping operations

Your team keeps working in the old system until cut-over day. After that, everything lives in HubSpot.

  1. Inventory

We analyse the source system’s objects, volumes, fields in use, integrations and automations.

  2. Mapping

We document how each object, field, stage and relationship moves into HubSpot, and you sign it off before we build.

  3. HubSpot preparation

We create the properties, pipelines, custom objects and teams to receive the data.

  4. Dry run

We run the full migration in simulation mode, measure errors and fix the mapping.

  5. Validation

We compare counts and review real records with your key users until you give the green light.

  6. Cut-over

On the agreed date we freeze the old system, load the pending changes and the team moves to HubSpot.

  7. Aftercare

We resolve any issues in the first few days and help you decommission the old tool.

Why Vexco

Large migrations, done methodically

01

Experience with real volumes

We’ve migrated an accountancy firm from Odoo to HubSpot with around 76,000 invoice records and their subscriptions, and a fintech SaaS from Salesforce with all its processes.

02

Repeatable migrations, no duplicates

Every record keeps its source ID. We can rerun the load as many times as needed without creating duplicates.

03

Processes, not just data

We rebuild in HubSpot the automations and integrations that depended on the old CRM, so nothing stops working on cut-over day.

04

One team from start to finish

The person who does the mapping is the one who codes the migration and trains your team. No handovers, nothing lost in translation.

Problems we solve

Common questions before migrating your CRM

We pay for two CRMs because nobody dares to migrate.

We plan the migration with a cut-over date and retire the old tool once you’ve confirmed everything is in HubSpot.

We have years of email and note history.

We migrate the activities associated with each contact, company and deal, with their original dates.

Our Salesforce is heavily customised.

We map custom objects and fields to HubSpot properties or objects and rebuild the logic in workflows or code.

The source data is full of duplicates.

We clean and deduplicate before loading, so HubSpot starts clean rather than inheriting the same old problems.

We can’t stop selling for even a day.

The team stays on the old system until cut-over. The final switch happens in an agreed window, with pending changes loaded.

Our old CRM also handled invoicing.

We migrate invoices, subscriptions and payments, or integrate HubSpot with your ERP so invoicing stays outside the CRM.

FAQs

What clients ask us before we start

How long does a HubSpot migration take?

It depends on the volume, the number of objects and the automations that need rebuilding. As a guide, projects with large migrations or several integrations usually take 10 to 14 weeks; a simple migration can fit within a 4- to 8-week implementation.

How much does it cost to migrate a CRM to HubSpot?

The price depends on the source system, the volume of records and history, how many custom objects and relationships there are, the condition of the data and the automations or integrations that need rebuilding. After the initial inventory we give you a fixed-price quote.

Will we lose our history of emails, notes and calls?

Not if it’s properly planned. We migrate the activities associated with each record with their original dates. If an activity has no direct equivalent in HubSpot, we agree with you how to preserve it before migrating.

Can we keep working during the migration?

Yes. Your team stays on the old system until the cut-over date. On that day we freeze the source, load the latest changes and the team switches to HubSpot.

What is a dry run and why does it matter?

It’s a full rehearsal of the migration in simulation mode. It lets us catch mapping errors, incomplete data or broken relationships before the real cut-over, while fixing them still costs nothing.

What happens to the automations in our old CRM?

We inventory them and rebuild them in HubSpot using workflows, custom code or integrations, and take the opportunity to drop the ones that no longer make sense.

What do we need to provide?

Admin access to the source system and to HubSpot, someone who knows the data well to sign off the mapping, and a few hours from key users to review the result before cut-over.
