HubSpot vs monday CRM: a full comparison and which to choose

monday CRM is flexible and visual; HubSpot brings marketing, sales and service together on one CRM. Here is how they differ and why HubSpot fits better as you grow.

HubSpot vs monday CRM: a full comparison and which to choose

If you want a CRM where marketing, sales and customer service all work from the same data, HubSpot is the better choice for most growing companies. monday CRM is a flexible, highly visual tool that feels natural if your team already runs its work in monday.com, but marketing, service and full reporting tend to require extra products or a lot of bespoke configuration.

Quick verdict: choose HubSpot if you want to attract, sell to and support customers on one platform, with a solid CRM data model, full-funnel reporting and Breeze working across all your data. monday CRM can suit small teams that already live in monday.com and only need to track deals visually.

We are a HubSpot Diamond partner, so we have a side and would rather say so upfront. That said, monday CRM has genuine strengths and we will give them their due. What follows is a criterion-by-criterion comparison for whoever has to make the call and live with it for years.

What are monday CRM and HubSpot?

monday CRM is the sales product from monday.com, the company best known for its work management platform. It is built on the same logic of boards, columns, views and automations as the rest of its line-up. That makes it very flexible: drag in a few columns, add rules such as "when the status changes, do this", and you have a sales process running in no time.

monday.com rounds out its catalogue with other products: monday work management for projects, monday service for ticketing and monday campaigns for email marketing. They share an account and can be connected, but each one is bought and configured as a separate product.

HubSpot is a customer platform built on a shared CRM, Smart CRM. On top of it sit Marketing Hub, Sales Hub, Service Hub, Content Hub, Data Hub and Revenue Hub, with Breeze as the artificial intelligence layer. Every hub reads and writes the same contacts, companies, deals and tickets, with no internal syncing between products.

CRM and data model: boards versus objects

This is the factor that matters most in the medium term and the one people look at least when choosing. In monday CRM, information lives in boards: one for contacts, another for accounts, another for deals, linked through connection columns. It is intuitive and adapts to almost anything, but every company ends up with a different structure, and data quality depends heavily on whoever designed it.

HubSpot starts from a standard CRM model: contacts, companies, deals, tickets, products and activities, with associations between them, association labels and, in Enterprise editions, custom objects. The whole product, from forms to reports, understands that model. As a result, deduplication, attribution and a 360-degree customer view work without having to build them yourself. Which is better for the sales team?

For day-to-day selling, both cover the essentials. monday CRM offers visual pipelines, contact and account management, Gmail and Outlook sync, activity logging, simple quotes and invoices and, on higher plans, mass emails and sequences. Its kanban board is clear and many reps pick it up without training.

Sales Hub covers the same ground and adds tools designed for growing teams: sequences, meeting scheduling, templates and snippets, playbooks, a prospecting workspace, quotes, team forecasting and conversation intelligence. Some features depend on the edition, so check the product page before deciding. What matters is that everything happens on the same record marketing sees, with no copying of data.

Does monday CRM do email marketing and marketing automation?

monday CRM lets you send one-to-one emails and, depending on the plan, mass emails and sequences. For proper marketing campaigns, monday.com offers monday campaigns as a separate product that draws on CRM data. It works, but it is another tool to buy, configure and keep consistent.

In HubSpot, Marketing Hub is built into the CRM: forms, landing pages, emails, nurturing workflows, lead scoring, ads management, social media and revenue attribution. The contact who downloads a guide and opens three emails is the very same record the rep sees in the pipeline. That continuity enables automatic marketing-to-sales handoffs and tells you which campaigns generate revenue, not just clicks.

Fig. 2 In HubSpot, the whole customer lifecycle happens on a single record. With separate products, every step is a connection to maintain.

Customer service: Service Hub or monday service

monday.com handles support with monday service, its own product with tickets, a portal and AI-driven automations. It can be connected to monday CRM, but it is not the same module or the same data model.

Service Hub manages tickets on the same CRM: shared inbox, customer portal, knowledge base, satisfaction surveys, SLAs and the Breeze customer agent. A rep can see that a customer has an open issue before calling about a renewal, with no extra steps.

Automation: board rules versus CRM workflows

monday automations are easy to build with trigger-and-action recipes, and they handle operational work very well: assigning, notifying, moving items, creating tasks. There is a monthly action limit depending on the plan, and processes that span several boards or products become harder to follow.

HubSpot workflows act on contacts, companies, deals, tickets and custom objects, with branches, delays, owner rotation, webhooks and, in higher editions, custom code. It is more powerful, which is precisely why it needs thoughtful design: clear naming, a small number of well-documented workflows and clean properties.

AI: Breeze versus monday AI

monday has invested heavily in AI. Its assistant, Sidekick, works with the context of boards and documents, and monday CRM includes agents that source and score leads, prepare meetings or monitor the pipeline, plus an AI meeting notetaker and a custom agent builder. Usage is measured in AI credits that depend on the plan.

Breeze is HubSpot’s AI layer, and its advantage is the data it works on. Breeze Assistant answers and drafts with the context of the whole CRM, Breeze agents cover customer service, prospecting and data quality, and enrichment fills in company and contact details. Because marketing, sales and service live in one place, the AI sees the customer’s full history rather than a single board. HubSpot credits also depend on the edition.

Reporting and dashboards

monday offers dashboards with widgets that aggregate data from one or more boards, which work well for tracking a team’s operational progress. The challenge arrives when leadership wants to combine campaigns, opportunities, revenue and support: if each area lives in a different board or product, the report depends on how they are connected.

HubSpot builds reports on a single data model: revenue attribution, contact-to-customer funnel, pipeline velocity, forecasts and service performance. Data Hub adds datasets and data quality tooling. Leadership can see, on one dashboard, which campaigns drive revenue and how service is performing.

Integrations and API

monday has a broad marketplace, a well-documented GraphQL API and connectors for Gmail, Outlook, Slack, Zoom, DocuSign and accounting tools. For work management, its ecosystem is excellent.

HubSpot’s App Marketplace lists well over a thousand integrations, many focused on CRM, marketing and sales, and its APIs cover objects, associations, webhooks, private apps and UI Extensions. In practice, HubSpot integrations with ERPs, invoicing or ecommerce platforms usually have a native connector or a proven pattern.

Ease of use and adoption

This is where monday shines: its interface is colourful, intuitive and familiar to anyone who already uses monday.com. The flip side is that total flexibility demands discipline. Without careful design you end up with duplicate columns, parallel boards and figures that do not reconcile.

HubSpot is also easy to use, with a consistent interface across every hub and a CRM structure that guides users. Record views, pipelines and tasks are quick to learn, and HubSpot Academy makes role-based training straightforward.

Implementation, pricing and total cost of ownership

monday CRM has no permanent free plan: it offers a free trial and paid per-seat plans, with a minimum number of seats and limits on automations, AI credits and features by plan. Marketing and service are bought as separate products. See monday CRM pricing.

HubSpot has free CRM tools and Starter, Professional and Enterprise editions, sold per hub or as a bundle, with seats and credits depending on the edition. See HubSpot pricing. For a fair comparison, add to monday the products and apps you would need for marketing, service and reporting, plus the time of whoever designs and maintains the boards. With HubSpot, count only the hubs you will actually use and the initial implementation, which in our projects typically takes 4 to 8 weeks for Sales or Marketing Hub.

Support, community, partners and security

Support and ecosystem

Both offer a help centre, an academy and an active community. The difference is the partner network: HubSpot has a very large ecosystem of certified partners specialising in CRM, marketing and RevOps, which makes it easier to find expert help to implement, integrate or build.

Security, GDPR and EU data hosting

monday.com holds certifications such as ISO 27001 and SOC 2 and offers an EU data region for certain customers; it is worth confirming which plan it applies to. HubSpot lets you host your account in its EU data centre and includes consent tools, lawful basis tracking and subscription management designed with GDPR in mind.

When might monday CRM make sense?

There are scenarios in which monday CRM is a reasonable choice, and it is only fair to say so:

  • Your company already runs projects and operations in monday.com and you want sales to live in the same environment.
  • Your sales process is simple, with only a few reps, and marketing is handled elsewhere or barely exists.
  • What you sell looks more like a project than a funnel, and post-sale delivery matters more to you than attribution.
  • You have someone in-house who enjoys designing boards and will keep the structure tidy.

Verdict: why HubSpot wins

For most companies that want to grow in an orderly way, HubSpot is the better choice. Here is why:

  1. One platform for the entire customer lifecycle. Marketing, sales, service and content on the same CRM, with no separate products to sync.
  2. A genuine CRM data model. Standard objects, associations and properties that deliver data quality and a 360-degree view without designing them from scratch.
  3. Reliable leadership reporting. Attribution, funnel and forecasting across departments, because the data lives in one place.
  4. AI with full context. Breeze works with the customer’s entire history, not an isolated board.
  5. Lower total cost as you scale. Fewer tools, fewer connections and fewer admin hours as the team grows.
  6. A specialised ecosystem and partners. Proven integrations and CRM experts to implement and evolve the platform.

How to migrate from monday CRM to HubSpot

The migration is very manageable with proper planning. HubSpot Smart Transfer lists monday.com among its supported sources, although heavily customised boards usually need extra work with exports or the API. These are the steps we follow:

  • Board inventory: identify which board maps to contacts, companies, deals or tickets, and which ones are operational and should stay out of the CRM.
  • Columns to properties: map every column to a HubSpot property with the right field type. monday status columns usually become pipeline stages or dropdown properties.
  • Connections to associations: connection columns between boards become associations, with labels where needed.
  • History: emails, notes, updates and files need a plan of their own; decide how far back it is worth going.
  • Automations and integrations: redesign recipes as workflows and reconnect forms, email and external tools.

Typical pitfalls are migrating boards as they are, without removing duplicates, and forgetting subitems or columns that hold key information. At Vexco we handle these CRM migrations with consultants and developers in the same team, and we have already moved companies to HubSpot from Clientify, Odoo and Salesforce.

If you also want to use the move to tidy up your processes, treat it as a phased HubSpot implementation rather than a simple data transfer. And if you are still weighing up other sales tools, compare HubSpot vs Pipedrive as well.

FAQs

What clients ask us before we start

Is monday CRM better than HubSpot?

It depends on scope. monday CRM is very flexible for building a visual pipeline, especially if your company already works in monday.com. HubSpot is the stronger choice when you want marketing, sales and customer service on the same database, with full-funnel reporting and AI that works across all your data.

Does monday CRM have a free plan?

monday CRM does not offer a permanent free plan: it has a free trial and paid per-seat plans. HubSpot does have free CRM tools as well as paid editions (Starter, Professional and Enterprise). Check each vendor’s official pricing page, as terms change.

Can monday CRM handle email marketing?

monday CRM lets you send emails, mass emails and sequences on some plans, and monday.com sells a separate product, monday campaigns, for email campaigns. HubSpot builds marketing natively into Marketing Hub, with forms, landing pages, automation, lead scoring and attribution on the same CRM.

Can you migrate from monday CRM to HubSpot?

Yes. HubSpot Smart Transfer lists monday.com among its supported sources, and you can also migrate with exports and imports or via the API. The key is turning monday boards and columns into HubSpot objects, properties and associations, and planning how to bring over activity history.
