HubSpot vs Pipedrive: a full comparison and which to choose

Pipedrive is a very well-built sales CRM; HubSpot brings marketing, sales and service together on one CRM. We compare them criterion by criterion and tell you which suits each business.

HubSpot vs Pipedrive: a full comparison and which to choose

If all you need is for your sales reps to manage their pipeline, Pipedrive is an excellent CRM: visual, quick to learn and laser-focused on the next activity. But if you want to capture leads, automate marketing, look after customers and see what actually drives revenue without stitching five tools together, HubSpot is the better choice for most growing businesses. In this comparison we explain why, criterion by criterion, without hiding what Pipedrive does well.

Quick verdict: Pipedrive wins on simplicity for small teams that only sell. HubSpot wins on everything else: marketing and sales on the same record, customer service, cross-team automation, AI with full context and leadership reporting. If your company plans to grow, HubSpot saves you from switching CRM two years down the line.

What are Pipedrive and HubSpot?

Pipedrive was born in Estonia, built by salespeople for salespeople, and is now an international company majority-owned by Vista Equity Partners. Its philosophy is activity-based selling: every deal has a next step and the board tells you what to do today. It is sold in per-user plans (Lite, Growth, Premium and Ultimate) and extended through add-ons such as Campaigns, LeadBooster, Web Visitors, Projects and Smart Docs.

HubSpot is a customer platform built on a shared CRM, Smart CRM. On top of it sit Marketing Hub, Sales Hub, Service Hub, Content Hub, Data Hub and Revenue Hub (formerly Commerce Hub), with Breeze as the artificial intelligence layer. Sales Hub is the product that competes head-on with Pipedrive; the others extend what the business can do without leaving the same database.

The typical customer differs too. Pipedrive shines with small and mid-sized sales teams selling B2B with a clear cycle. HubSpot covers everything from the start-up using the free tools to companies with several teams, countries and business units.

CRM and data model: how do they differ?

Pipedrive organises information into people, organisations, deals, leads, activities and products, each with custom fields. For a sales team that is enough, and it is very well executed. The limit appears when you need to represent something that is not a deal: contracts, subscriptions, properties, projects or tickets with their own logic.

HubSpot starts with contacts, companies, deals and tickets, and supports labelled associations (for instance, telling the decision-maker apart from the end user within a company). Enterprise adds custom objects, so you can model your real business inside the CRM instead of forcing it into text fields. That is what we do, for example, with property listings for estate agencies or with payments for professional firms.

Which is better for the sales team?

For day-to-day deal management, both do a good job. Pipedrive has a very clean board, rotting-deal alerts, a sales inbox and a constant focus on the next activity that many reps appreciate. It is hard to make it any simpler, and that is its great strength.

Sales Hub offers the same and adds layers built for growing teams: follow-up sequences, meeting links, templates and snippets, quotes, forecasting, playbooks, calling from the CRM and a prospecting workspace. Some features depend on the edition, so check the product page before you decide.

Does Pipedrive have email marketing and lead capture?

Yes, but as add-ons. Campaigns lets you send marketing emails to CRM contacts, LeadBooster bundles a chatbot, live chat, web forms and Prospector, and Web Visitors identifies companies browsing your website. It works, although each piece is switched on, configured and paid for separately, and attributing revenue to campaigns remains limited.

In HubSpot, the contact who downloads a guide, opens three emails and visits your pricing page is the same record the rep sees in their pipeline. That enables lead scoring based on real behaviour, automatic hand-off from marketing to sales when a lead meets your criteria, and knowing which campaigns generate revenue rather than just clicks. For a company that wins business through its website, this is the biggest difference in the whole comparison.

Customer service and after-sales

Pipedrive has no native support module: for tickets, a knowledge base or surveys it relies on integrations with tools such as Zendesk or Freshdesk. That is a valid approach, but service history lives in a different database.

With Service Hub, tickets, chat, a shared inbox, the knowledge base and satisfaction surveys all sit on the same CRM. The account manager can see whether a customer has an open issue before proposing a renewal, and the customer success team works from the same data as sales.

Automation: how far does each one go?

Pipedrive includes trigger-and-action automations that cover the usual ground: creating activities when a deal changes stage, assigning deals, sending alerts or updating fields. The number of active automations depends on your plan, and they are designed mainly around the sales process.

HubSpot workflows act on contacts, companies, deals, tickets and custom objects, with branches, delays, owner rotation and, on higher editions, custom code and webhooks. You can orchestrate the whole lifecycle: from form to deal, from closed-won deal to onboarding and from ticket to survey. The trade-off is more to configure, so it pays to do it with a clear structure rather than ending up with hundreds of workflows nobody understands.

AI: Breeze versus Pipedrive’s AI

Pipedrive has added a sales assistant that answers questions about your data, creates notes and summarises content, along with AI email drafting, thread summaries, suggested replies, report creation from a prompt and help with imports. Several of these features are reserved for the higher plans and some are still in beta.

Breeze plays in a different league for a simple reason: it works with the context of the entire CRM, not just sales. Breeze Assistant helps you draft, summarise and prepare for meetings; Breeze agents research accounts and prepare prospecting, answer customers using your knowledge base or enrich records. Because marketing, sales and service share one record, the AI knows which emails the contact opened, which tickets they have and which stage their deal is at.

Reporting and leadership visibility

Pipedrive’s reports are clear and good enough for a sales manager: activity, stage conversion, forecasting and revenue per rep. To look beyond sales, you will need to combine data from your marketing and support tools, usually in a spreadsheet or a BI tool.

HubSpot lets you build dashboards that combine marketing, sales and service on the same database: cost per lead, MQL-to-customer conversion, sales cycle by channel or retention by segment. That is what leadership needs to make decisions without waiting for someone to assemble a report by hand every month.

Integrations and API

Both have a broad marketplace and a well-documented API, so connecting billing, telephony or your website is possible with either. The difference is structural. With Pipedrive, each new need (marketing, support, surveys, chat) tends to bring another tool with its own database and its own sync, and every connection is one more thing to maintain.

With HubSpot, many of those needs are covered by switching on another hub on the same data, and for anything missing you have one of the largest app ecosystems in the industry, private apps, webhooks and UI Extensions to build right inside the record. To see what can be connected, take a look at our HubSpot integrations.

Which is easier to use?

Pipedrive is probably one of the CRMs that needs the least training: a rep can pick it up in an afternoon. HubSpot is also among the easiest on the market, with a consistent interface across hubs, a full mobile app and HubSpot Academy to train every role.

Where HubSpot wins is medium-term adoption. Because marketing, sales and service all work in the same tool, you do not need to persuade each team to use a different system or explain why the numbers do not match across platforms.

Implementation and total cost of ownership

Both charge per user and per plan, and both have add-ons. HubSpot also offers free tools and Starter, Professional and Enterprise editions for each hub. Pipedrive has no permanent free plan, but it does offer a free trial. We do not publish figures because they change; check HubSpot’s official pricing and Pipedrive’s official pricing.

For a fair comparison, add to Pipedrive the add-ons you will need and the external tools for email marketing, support, surveys or BI, plus the hours spent maintaining those integrations. For HubSpot, add only the hubs you will genuinely use and a well-run implementation. For many growing companies, total cost ends up comparable or in HubSpot’s favour, with far less complexity.

Support, community and partners

Pipedrive offers chat and email support, a comprehensive help centre and an active community, with support levels that improve on higher plans. HubSpot adds edition-based support, its user community, HubSpot Academy with free certifications and a global network of certified partners who implement, integrate and build.

That network matters more than it seems: when you need a custom integration or a CRM restructure, it is easy to find an experienced team. At Vexco we are a HubSpot Diamond Solutions Partner, with consultants and developers in the same team.

Security, GDPR and EU data hosting

Pipedrive states certifications such as SOC 2 and ISO 27001 and, according to its documentation, hosts new EU customers in its European region. HubSpot lets you host your account in its EU data centre and offers a data processing agreement, consent management, team-based permissions and, on higher editions, advanced controls such as SSO and audit logs. In both cases, review the DPA and sub-processor list with your data protection officer.

When could Pipedrive make sense?

Pipedrive is a reasonable choice in a few specific scenarios:

  • A small team of reps who only sell and source almost everything through outbound or referrals.
  • A company where marketing is minimal or handled by an external agency with its own tools.
  • A simple sales process, with no complex after-sales or need for attribution.
  • An absolute priority on the simplest possible tool, even if it means switching later.

If that is you and you do not expect to grow your team or processes, Pipedrive will serve you well. If you are weighing up several sales-focused tools, you may also find our HubSpot vs Close comparison useful.

Verdict: why HubSpot wins

For most growing businesses, HubSpot is the better choice. These are the concrete reasons:

  1. One platform. Marketing, sales, service and content on the same CRM, with no syncs between tools and no numbers that fail to match.
  2. Real lead capture and attribution. You know which campaign brought in every closed deal, something that in Pipedrive requires add-ons and external tools.
  3. Breeze with full context. HubSpot’s AI sees the customer’s marketing, sales and service history, not just the pipeline.
  4. It grows with you. Custom objects, team permissions, multiple pipelines and business units without changing CRM.
  5. Lower total cost over time. Fewer tools, fewer integrations to maintain and fewer admin hours.

How to migrate from Pipedrive to HubSpot

It is one of the most straightforward migrations because the models are similar: people become contacts, organisations become companies, deals stay deals and products stay products. HubSpot offers Smart Transfer, which connects to Pipedrive and also brings across notes, calls, meetings, tasks and custom activities. According to HubSpot’s documentation, syncing activities with this tool requires a Data Hub subscription, and manually logged emails are not transferred as email activity.

The points to plan are always the same: remove duplicates before moving anything, decide which custom fields survive, map the stages of each pipeline, keep original create and close dates so historical reports do not break, and rebuild integrations (telephony, billing, forms) in HubSpot before cut-over day.

FAQs

What clients ask us before we start

Is HubSpot or Pipedrive better for a small business?

If the business only needs its sales reps to manage deals and activities, Pipedrive does the job very well. If it also wants to capture leads through its website, automate marketing, support customers and measure which campaigns drive revenue, HubSpot is the better option because it does all of that on the same database with fewer tools to maintain.

Does Pipedrive have email marketing?

Yes, through Campaigns, a paid add-on for sending email campaigns to CRM contacts. For lead capture it offers LeadBooster (chatbot, live chat, web forms and Prospector), included in the higher plans. HubSpot builds forms, emails, landing pages, automation and attribution natively into Marketing Hub.

How long does it take to migrate from Pipedrive to HubSpot?

It depends on data volume, integrations and how heavily Pipedrive has been customised. A sales team with standard pipelines can usually be migrated in a few weeks if field mapping, data clean-up and cut-over day are well planned. HubSpot offers Smart Transfer, which connects directly to Pipedrive.

Is HubSpot more expensive than Pipedrive?

Per user and on entry-level editions, Pipedrive often looks cheaper. For a fair comparison, though, you need to add the add-ons and external marketing, support or reporting tools you would need alongside Pipedrive, plus the time spent maintaining those integrations. Always check both vendors’ official pricing pages.
