Case files are allocated by eye
A new client comes in and someone decides who takes it based on who’s in the office, not on each professional’s actual workload.
Costsome overloaded, others idle
HubSpot for professional services
Law firms, accountancy firms, tax advisers, consultancies and financial firms. We configure HubSpot so every client, case file, invoice and payment is connected, with automatic assignment, invoicing in your ERP and compliance with GDPR and Verifactu (Spain’s e-invoicing regulation).
Daily life at a firm
In a services firm, the product is your team’s time. Every minute spent copying data, chasing payments or allocating work is a minute you can’t bill.
A new client comes in and someone decides who takes it based on who’s in the office, not on each professional’s actual workload.
Costsome overloaded, others idle
Payments come in by card, Redsys, bank transfer or cash, and matching them to the right company is done by hand.
Costnever-ending month-end closes
The engagement letter is accepted in the CRM and admin re-types the client, line items and VAT into the invoicing software.
CostVAT errors and late payments
Nobody knows how much balance each client has left or when their pack or subscription is due for renewal.
Costservices delivered but never billed
Enquiries from the website or by phone go unrecorded, and proposals that go out never get a follow-up call.
Costproposals that go cold
Unrecorded consents, sensitive data accessible to the whole team and invoicing that has to be adapted to Verifactu.
Costlegal risk and fines
What we configure
Case files, companies, payments and subscriptions modelled exactly as your law or advisory firm works.
Integrations
The CRM manages the client relationship; your ERP keeps issuing the invoices. The integration removes the work of copying between the two.
Contact, invoice or project created when the deal is won.
Every payment recorded in the CRM and in its company’s cash account.
Enquiries and appointments recorded effortlessly.
Migration with subscriptions, invoices and history.
How we implement it
We validate every flow with acceptance tests before it goes live: on the project for the law firm with 5 companies, 90 out of 90 tests were passed.
We interview partners, professionals and admin staff to understand business development, work allocation, invoicing and collections.
We define case files, companies, payments, subscriptions and permissions, and how they relate to clients and deals.
We bring over clients, subscriptions and invoices from Odoo or another system, with payment reconciliation and no duplicates.
We connect Holded, Stripe and Redsys so the invoice, receipt and payment are generated automatically and flow back to the CRM.
We test every real case with your team, including VAT, companies and Verifactu, before switching anything on.
We train professionals and admin staff by role, and keep improving with optional monthly support.
Real cases
A full migration from Odoo 19, payment reconciliation with Stripe and automatic project allocation based on each accountant’s workload.

The one your team actually uses and that’s connected to your invoicing. HubSpot is a good fit when you need to win clients, follow up on proposals, allocate case files and give partners proper reporting. What makes the difference is configuring it for the way you work.
Yes. We create a case file or project object with its type, owner, deadlines and status, linked to the client and the company. For one accountancy firm, we configured it to assign every new case file automatically to the accountant with the lightest workload.
We’ve already done it with Holded and Odoo. When a deal is won, the contact and the invoice, pro forma or project are created in Holded with the quote’s line items, and the invoice number and PDF come back to HubSpot. If your software has an API, we’ll look into it.
HubSpot doesn’t replace your invoicing software. Invoices are issued in your ERP, which is what complies with Verifactu (Spain’s e-invoicing regulation), and the integration makes sure they’re created with the right CRM data and brings their status back.
Yes. HubSpot offers data hosting in the European Union and consent management. We configure the legal basis, subscriptions, permissions by team and company, and what data each professional can see.
Yes. For an accountancy firm we migrated around 76,000 invoice records from Odoo to HubSpot together with their subscriptions, and reconciled payments with Stripe so the history added up from day one.
