HubSpot vs Teamleader: full comparison and which to choose

Teamleader combines CRM, quotes, invoicing and projects for service SMEs; HubSpot unites marketing, sales and service on a CRM that scales. We compare them point by point.

HubSpot vs Teamleader: full comparison and which to choose

If you run a service SME or an agency and your bottleneck is getting from quote to invoice and tracking time, Teamleader handles that part very well. If what you need is to win more customers, sell in a structured way, provide service and measure what drives revenue, HubSpot is the better choice for most growing companies. In this comparison we explain why, criterion by criterion, and how to get the best of both worlds.

Quick verdict: Teamleader wins on the internal operations of a service SME: quotes, time, projects and invoicing in one tool. HubSpot wins on everything customer-facing: marketing, sales, service, AI, automation, reporting and integrations. To grow, HubSpot as your central CRM connected to your invoicing system is the strongest combination.

What are Teamleader and HubSpot?

Teamleader is a Belgian company founded in Ghent in 2012 and part of the Visma group. Its main product, Teamleader Focus, brings together CRM, quotes with online signing, e-invoicing, time tracking, project management, planning and work orders for SMEs. Teamleader Orbit targets larger agencies, with resource planning and profitability analysis. The family is rounded off by invoicing and bookkeeping products for the self-employed in Belgium.

HubSpot is a customer platform built on a shared CRM, Smart CRM. On top of it sit Marketing Hub, Sales Hub, Service Hub, Content Hub, Data Hub and Revenue Hub (formerly Commerce Hub), with Breeze as the AI layer. Each hub comes in Starter, Professional and Enterprise editions, and you can begin with the free tools.

The underlying difference is one of focus. Teamleader is business management software with a built-in CRM: it looks inwards, at operations. HubSpot is a customer relationship platform: it looks outwards, at how you attract, sell to and retain customers.

CRM and data model: how do they differ?

Teamleader Focus works with contacts, companies, deals, quotes, projects and invoices, with custom fields. For a service SME it is practical because everything hangs off the same customer. Multiple sales pipelines are only available on the top plan.

HubSpot starts with contacts, companies, deals and tickets, with association labels and, on Enterprise, custom objects to model subscriptions, contracts, properties or whatever you sell. Some public reviews mention a degree of rigidity in Teamleader when processes move away from the standard; in HubSpot, that is exactly where the platform adapts to you.

Which is better for the sales team?

Teamleader covers a clear pipeline, quotes with templates and online signing, margin calculation and one-click conversion of an accepted quote into a project. For anyone selling bespoke services, that flow is very convenient.

Sales Hub is designed for teams that want to sell more, not just record what has been sold: follow-up sequences, meeting links, call logging, playbooks, a prospecting workspace, quotes linked to the product library and team-level forecasting. With team permissions and business units, the structure holds up when you go from three reps to thirty.

Is Teamleader any good for marketing?

This is the big difference. Teamleader is not positioned as a marketing tool: it offers lead capture as an add-on and connects to external tools for email marketing or campaign automation. On review platforms, its marketing features receive modest scores.

Marketing Hub, by contrast, brings together forms, landing pages, emails, segmentation, nurturing, lead scoring, ads and revenue attribution on the same record the rep sees. For a business that wins customers through its website and content, it is the difference between guessing and knowing which channel brings in revenue.

Invoicing, projects and time: Teamleader’s home turf

Teamleader is strong here and it is only fair to say so. Recurring invoices, automatic payment reminders, e-invoicing, hand-off to the accountant, time tracking and project-based billing, all in the same tool. Teamleader also supports Peppol e-invoicing, which matters in Belgium and other European markets.

HubSpot does not try to replace your invoicing software. Revenue Hub covers quotes, payments and subscriptions, and for statutory invoices the usual approach is to connect HubSpot to your invoicing tool or ERP: when a deal is won, the invoice is created there and the number, PDF and payment status flow back to HubSpot. It is the kind of integration we have built for several companies, for instance with Holded.

Customer service and after-sales

Teamleader offers after-sales features and a shared inbox as an add-on, which are enough for simple issues. Service Hub is in a different category: tickets with queues and priorities, SLAs, a customer portal, a knowledge base, satisfaction surveys and a Breeze customer agent that responds using the contact’s full history.

Automation: how far does each one go?

Teamleader automates operations well: quote to project, payment reminders, hand-off to accounting. Some users note in reviews that other processes still require a fair amount of manual work.

HubSpot runs workflows on contacts, companies, deals, tickets and custom objects, with branches, delays, webhooks and, on higher editions, custom code actions. You can automate anything from lead assignment to contract renewals or creating an onboarding ticket when a deal closes.

AI: Breeze vs Focus AI

Teamleader has introduced Focus AI, an assistant that drafts quotes, flags the ones that need follow-up and prepares payment reminders, always as a proposal for the user to approve. It runs on monthly credits included with each plan. It is AI firmly focused on admin.

Breeze covers the full customer lifecycle. Breeze Assistant works inside the CRM, and the agents handle customer queries, prospect, enrich data, create content and campaigns, nurture leads and chase payments, with a builder for creating your own agents. Many features consume HubSpot Credits, so it pays to plan usage.

Reporting and management visibility

Teamleader includes ready-made business reports and an advanced reporting add-on. In reviews, reporting and data export appear among the areas for improvement. HubSpot offers custom reports across marketing, sales and service: cost per lead, conversion by channel, sales cycle, retention or revenue by campaign, in dashboards for each team or for leadership.

Integrations and API

Teamleader has a marketplace, a REST API with OAuth and webhooks, and good connections with email, calendars, payment providers and accounting software. HubSpot has one of the largest app ecosystems in the industry, an extensively documented API, private apps, webhooks and UI Extensions for building custom screens inside the CRM. See our HubSpot integrations page for detail.

Which is easier to use?

Teamleader has a polished interface and is easy to learn if your day revolves around quoting and invoicing. Some reviews mention a learning curve when configuring less standard processes. HubSpot stands out for ease of adoption: a clean interface, contextual help and HubSpot Academy with free role-based training.

Implementation and total cost of ownership

Teamleader Focus is sold per user across three plans, with account-level add-ons (projects, planning, lead capture, shared inbox, advanced reporting) and a free trial. HubSpot offers free tools and per-hub editions, with seats by user type and an initial onboarding that HubSpot requires on higher editions. Check HubSpot’s official pricing and Teamleader’s official pricing.

For a fair comparison, add to Teamleader the marketing, support and reporting tools you would need separately and the hours spent maintaining those connections. For HubSpot, count only the hubs you will genuinely use and the integration with your invoicing system.

Support, community and partners

Teamleader offers a help centre, plan-dependent chat support and partners in its markets. HubSpot adds a global community, HubSpot Academy with certifications and a worldwide partner network. At Vexco we are a HubSpot Diamond Solutions Partner, with consultants and developers in one 19-person team across Barcelona and Dubai.

Security, GDPR and EU data hosting

Teamleader states that it hosts Focus on AWS servers in Ireland and Orbit on Azure in the Netherlands, with encryption at rest and in transit. HubSpot lets you host your account in its EU data centre, offers a data processing agreement, consent management and, on higher editions, SSO and audit logs. In both cases, review the DPA and sub-processors with your data protection officer.

When might Teamleader make sense?

  • A small service business whose main challenge is quoting, tracking time and invoicing.
  • An agency that needs resource planning and project profitability more than lead generation.
  • A business that grows mainly through referrals, with little digital marketing.
  • A company in Belgium or the Netherlands that wants e-invoicing and CRM from the same supplier.

If that is you and you do not expect to grow your marketing or sales team, Teamleader can serve you well.

Verdict: why HubSpot wins

  1. Built to grow revenue. Marketing, sales and service on the same CRM, rather than a CRM inside business software.
  2. Real marketing. Native lead capture, nurturing and attribution, with no external tools.
  3. Complete customer service. Service Hub with tickets, SLAs and a knowledge base.
  4. Breeze with full context. AI that works across the whole lifecycle, not just admin.
  5. Flexible architecture. Custom objects and deep integrations to connect your preferred invoicing tool without compromise.

How to migrate from Teamleader to HubSpot

The key is deciding first what moves and what stays. The usual approach is to bring contacts, companies, deals, activities and notes into HubSpot, and keep invoicing in a connected invoicing system. Historical invoices can be brought across as a summary on the company or as an associated object if you need them for reporting.

  • Export and inventory: contacts, companies, deals, quotes, projects and custom fields, via export or the API.
  • Decide where projects and time will live: a connected specialist tool or an object in HubSpot.
  • Map stages and properties and store the Teamleader ID on every record for reconciliation.
  • Keep the dates of creation and closing so historical reports stay intact.
  • Connect invoicing and test it with real data before cut-over day.

FAQs

What clients ask us before we start

What is the difference between Teamleader Focus and Teamleader Orbit?

Teamleader Focus is the all-in-one tool for SMEs: CRM, quotes, invoicing, time tracking, projects and planning. Teamleader Orbit is built for larger agencies and focuses on work management, resource planning and profitability by project, client or person. Neither covers marketing or customer service at HubSpot’s level.

Does Teamleader have email marketing?

Teamleader is not positioned as an email marketing tool: it offers lead capture as an add-on and connects to external tools, for example through marketplace integrations or Zapier. HubSpot natively combines forms, emails, landing pages, automation and attribution in Marketing Hub, on the same database as sales.

Can I use HubSpot and keep invoicing in another tool?

Yes, and it is the most common set-up. HubSpot handles marketing, sales, quotes and service, and when a deal is won the invoice is created in your invoicing software or ERP, which takes care of tax compliance. The invoice number, PDF and payment status flow back into HubSpot.

Is Teamleader cheaper than HubSpot?

Teamleader charges per user depending on the plan, with account-level add-ons; HubSpot charges per hub, edition and seat type, with free tools to get started. For a fair comparison, add to Teamleader the marketing, support or reporting tools you would need separately and the cost of maintaining those integrations. Check both official pricing pages.
