HubSpot Data Hub implementation
Data Hub, formerly Operations Hub, is the part of HubSpot that syncs, cleans and automates your CRM data. We implement it with consultants and developers in the same team: from deduplication and formatting rules to custom code actions, webhooks and datasets for reporting.
Why Data Hub
Duplicate contacts, phone numbers in five different formats, countries typed by hand, deals with no idea what happened in the ERP. When data breaks down, so do segmentation, lead routing and leadership reporting.
Data Hub brings the tools to prevent that into HubSpot: sync with other applications, a data quality overview with duplicate management, formatting actions in workflows and programmable automation with code, webhooks and scheduled workflows. Higher editions add datasets, Data Studio and data warehouse connectors.
We configure it around your processes: first we agree which data matters and who owns each field, then we automate. When you need custom logic, our developers write it, documented and with logs so you can see what happened on every run.
Deliverables
Some features depend on the edition (Starter, Professional or Enterprise). We tell you which one you need during the audit.
Why Vexco
The same team designs the process and writes the code. No second supplier is needed when a data rule calls for custom logic or a call to another API.
Every code action is documented, with secrets kept out of the code and clear logs. If your process changes tomorrow, it can be adjusted without starting over.
We build in idempotency, deduplication, retries and a dry-run mode before touching live data. We have applied this to integrations with ERPs, payment gateways and portals.
Many data improvements can be handled with Starter or even with core CRM features. We only recommend Professional or Enterprise when your case calls for it.
Method
Data Hub is usually part of a wider implementation or integration project. Timing depends on data volume and how many sources need connecting.
Audit
We analyse duplicates, formats, unused properties and where each piece of data comes from, then prioritise what to clean, sync and automate.
Architecture
We define the source of truth for each field, the deduplication and formatting rules and which logic needs code. You sign it off before we build.
Build
We set up the sync, formatting workflows and code actions, testing first in dry-run mode or with test records.
Adoption
We switch the automation on, review the first results and train whoever runs the portal to keep an eye on data quality.
Problems we solve
We define duplicate criteria, merge under control and set rules so duplicates do not come back with imports or syncs.
We normalise existing values and add formatting actions to workflows so data is corrected as it comes in.
If a sync app exists, we configure it; if not, we build the integration with the API and webhooks.
We move that logic into HubSpot with calculated properties, scheduled workflows or custom code actions.
Programmable automation lets us add custom logic: sequential numbering, workload-based assignment or calls to other systems.
We align definitions, prepare datasets and, if needed, send the data to your data warehouse.

FAQs
Data Hub is the new name for Operations Hub. It keeps the data sync, data quality and programmable automation features, and adds tools for working with data from other sources, such as datasets and Data Studio, depending on the edition.
It depends on what you need to solve. Starter covers data sync and basic data quality tools; Professional adds, among other things, custom code actions and webhooks in workflows; Enterprise brings data warehouse connections. We recommend one after the audit.
Not always. If your ERP has a sync app in the Marketplace, that may be enough; if not, we build the integration with the HubSpot API. Data Hub Professional helps when part of that logic is best run inside workflows.
It depends on data volume and the number of sources. As part of a Sales Hub or Marketing Hub implementation it usually fits within the typical 4 to 8 weeks; with a migration or several integrations it can take 10 to 14 weeks.
It depends on scope: how much data needs cleaning, how many syncs and how much custom logic. After the free audit we send you a fixed proposal broken into phases. Bear in mind that some HubSpot features use HubSpot Credits.
We hand it over documented and walk your team through it. You can maintain it in-house or use our monthly support for changes and new automation.
We export a backup before any bulk change, test with test records or in dry-run mode and store credentials as secrets, never in the code. We work in line with the GDPR.
