HubSpot vs Salesflare: in-depth comparison and which to choose
Salesflare is excellent at automating data entry for small sales teams. HubSpot brings marketing, sales and service together in one CRM. Here is when to choose each.
If your sales team is small, sells B2B and your main worry is getting the CRM to fill itself in, Salesflare is a very well-designed option. If you also want to generate leads through marketing, support customers, automate processes across teams and report on the whole business, HubSpot is the better choice for most growing companies. Here is the full comparison.
Quick verdict: Salesflare stands out for automatic data capture and for how little it asks of salespeople. HubSpot also automates activity logging and, above all, brings marketing, sales, service, AI and reporting together in a single CRM with a huge ecosystem. For a business that wants to grow without piling up tools, HubSpot wins.
What are Salesflare and HubSpot?
Salesflare is a sales CRM built in Belgium for small B2B businesses. Its core idea is that salespeople should not have to type: the CRM reads the mailbox, calendar, email signatures and social profiles to create contacts, accounts and a timeline of interactions with almost no manual input. It runs inside Gmail and Outlook through a sidebar and has a LinkedIn extension.
It is sold in several paid per-user plans, with a free trial. Higher plans add multi-step email sequences, permissions and custom dashboards, and the enterprise plan includes training and data migration.
HubSpot is a customer platform built on Smart CRM, with Marketing Hub, Sales Hub, Service Hub, Content Hub, Data Hub and Revenue Hub, plus Breeze as its AI layer. Sales Hub is the product that competes head-on with Salesflare; the rest extends what the business can do on the same data.
CRM and data model
Salesflare works with contacts, accounts, opportunities and tasks, with custom fields and multiple pipelines. It is strongly account-centred: everything that happens with a client company is grouped in one timeline. For consultative B2B selling, that is a practical model.
HubSpot covers the same core with contacts, companies, deals and leads, then adds tickets, products, quotes, invoices and custom objects on higher editions, with labelled associations. If your business has subscriptions, contracts, projects or assets you want to manage in the CRM, HubSpot lets you model them properly instead of forcing everything into fields.
Which one logs sales activity better?
This is Salesflare's home ground. It captures emails and meetings, pulls data from signatures, enriches contacts and suggests who to add. Many users value it for exactly that reason: the CRM stays up to date without anyone spending time on it. It also tracks opens, clicks and contacts' website visits.
HubSpot also connects the mailbox and calendar to log emails and meetings automatically, tracks opens and clicks, and enriches company data. The difference is that this activity does not stay in sales: it feeds marketing scoring, lists, workflows, reports and the context Breeze uses. Data captured once serves the whole business.
Sales: pipeline, sequences and prospecting
Salesflare offers visual pipelines, suggested tasks, follow-up reminders, email campaigns sent from the salesperson's own mailbox and, on higher plans, multi-step sequences. It includes credits for finding lead email addresses, depending on the plan. For a team that prospects and follows up by email, it covers day-to-day work well.
Sales Hub adds a prospecting workspace, lead management kept separate from deals, sequences, a meetings scheduler, calling, quotes, forecasting, playbooks and coaching. You can see how HubSpot stacks up against other sales CRMs in HubSpot vs Pipedrive.
Marketing: where the gap widens
Salesflare lets you send personalised email campaigns and automated sequences with results tracking. That is useful for prospecting and follow-up, but it is not a marketing tool: it does not handle landing pages, ads, social media, website content or revenue attribution.
Marketing Hub brings all of that into the same database. Forms, emails, segmentation, automation, lead scoring and ads all work on the same contact who later shows up in the pipeline. That means you can see which campaigns produce closed-won deals, not just opens, and pass only sales-ready leads to the team.

Customer service
Salesflare does not include a help desk or ticketing. If you provide support, you will need another tool and an integration. Service Hub offers a shared inbox, tickets, SLAs, a knowledge base, surveys, a customer portal and AI agents to handle enquiries. Account managers see a customer's issues before renewal, and the support team sees what they have bought.
Automation
In Salesflare, automation focuses on data capture, suggested tasks and email sequences. It is very effective for the salesperson, but it is not designed to orchestrate company-wide processes.
HubSpot workflows run on any object, with branches, delays, owner rotation, webhooks and custom code on higher editions. You can assign leads by territory, create onboarding tickets when a deal is won, notify finance or update calculated properties. It is the difference between automating a salesperson's work and automating your operations.
Artificial intelligence: Breeze vs Salesflare's AI
Salesflare has added AI to its email editor (drafting, correcting, changing tone, translating or personalising) and timeline actions that summarise interactions, suggest follow-ups and prepare meetings. It also lets you connect its data to external assistants. These are useful features, well focused on the salesperson.
Breeze plays in a different league because it works across the entire platform. Breeze Assistant answers questions about your records, prepares meetings, summarises conversations and generates content. Breeze agents carry out complete tasks: handling customers in chat, researching accounts for prospecting or producing marketing content. Because everything shares one CRM, the AI knows the customer's marketing, sales and service history.
Reporting and analytics
Salesflare offers predefined sales reports and, on higher plans, custom dashboards. In user reviews, advanced reporting often comes up as one of the things growing teams miss most.
HubSpot lets you build reports and dashboards that span marketing, sales and service: from first touch to revenue, performance by channel, sales cycle, forecasting or customer satisfaction. Data Hub adds data quality tools, syncing with other systems and datasets for advanced analysis.
Integrations and API
Salesflare integrates with Gmail, Outlook, LinkedIn and other tools, connects to thousands of apps through Zapier or Make, and has an API. That is enough for a simple tech stack.
HubSpot has one of the largest marketplaces in the industry, a very complete API, webhooks, private apps and UI Extensions to surface data from other systems inside the CRM. When you need to connect your ERP, invoicing or product reliably, there are more options and more people who know how to do it.
Which is easier to use and roll out?
Salesflare is very easy for salespeople because there is hardly any data to enter. That is its big selling point, and it is well executed.
HubSpot is also one of the best-adopted CRMs on the market, with a clear interface and free training through HubSpot Academy. Because it has more modules, it is worth implementing methodically: properties, pipelines, permissions, integrations and role-based training. With a phased HubSpot implementation, the sales team is usually up and running within a few weeks, and marketing and service join on the same foundation.
Total cost of ownership
Salesflare is sold per user across several plans, with a free trial and lead-finding credits that vary by plan. HubSpot offers free tools plus Starter, Professional and Enterprise editions per hub, with per-seat licences. Check current pricing for HubSpot and Salesflare.
To compare them properly, add to Salesflare whatever you would need to cover what HubSpot already includes: a marketing tool, a help desk, forms and chat, a reporting tool and the integrations between them all. Every extra piece brings licences, maintenance and the risk of duplicate data. With HubSpot you switch on only the hubs you need and grow on the same CRM.
Support, community and partners
Salesflare has a reputation for friendly support, offers onboarding and, on its enterprise plan, a dedicated account manager. Its partner ecosystem is small. HubSpot adds support by edition, HubSpot Academy, a very active community and a global network of certified partners. At Vexco we are a HubSpot Diamond Solutions Partner, rated 4.9/5 in the HubSpot partner directory.
Security, GDPR and EU data
Salesflare is a European company headquartered in Belgium, which many teams appreciate. Even so, if EU hosting is a requirement, check its documentation and data processing agreement to confirm where the data resides. HubSpot offers hosting in its EU data centre, consent and lawful-basis tools, two-factor authentication, granular permissions and audit logs depending on edition.

When could Salesflare make sense?
- You are a small B2B sales team and the main problem is that nobody keeps the CRM up to date.
- You sell mainly through email and LinkedIn, with no inbound marketing or support team.
- You want a tool that works inside Gmail or Outlook with almost no setup.
If that is where you are, Salesflare is a reasonable choice. If you are also weighing other lightweight CRMs, take a look at HubSpot vs folk. But if you expect to add marketing, service or more teams, choosing HubSpot now saves you a migration later.
Verdict: why HubSpot wins
- The whole customer lifecycle in one CRM. Marketing, sales, service and content share data, with no extra tools or syncs.
- Automatic capture that serves the whole company. Logged activity feeds scoring, workflows, reports and AI, not just the pipeline.
- Breeze with full context. An assistant and agents that work across the entire customer history.
- Real scalability. Custom objects, team permissions, advanced automation and bespoke development.
- Management reporting. From first touch to revenue, in dashboards that span departments.
- Ecosystem and partners. Marketplace, API, training and consultants that lower both risk and total cost.
How to migrate from Salesflare to HubSpot
Salesflare is not among the apps supported by HubSpot Smart Transfer, so the migration is done with exports and the Salesflare API. These are the steps we follow:
- Audit and clean-up. Because Salesflare creates contacts automatically, there are often many contacts with no sales value. Prune them before you migrate.
- Object mapping. Contacts to contacts, accounts to companies, opportunities to deals in the equivalent pipeline and tasks to tasks, with their owners.
- Properties and tags. Create the custom properties and turn tags into properties or lists.
- History. Decide which emails, meetings and notes to migrate as activities. Once the mailbox is connected in HubSpot, new emails are logged automatically.
- Sequences and integrations. Rebuild sequences in Sales Hub and replace Zapier or Make connections with native integrations or workflows.
- Phase 1Audit and clean-up
- Phase 2Mapping and properties
- Phase 3Test migration
- Phase 4Cutover and training
Common pitfalls: migrating every automatically captured contact, losing the link between opportunities and accounts, or forgetting to reassign owners. With a test run on a sample and sign-off from the team, cutover is calm. We cover it in detail on our HubSpot migration page.
