HubSpot vs Agile CRM: a full comparison and which to choose

Agile CRM bundles sales, marketing and a helpdesk at low cost for small teams. HubSpot does the same with more depth, reliability and room to grow. Here is why it wins.

HubSpot vs Agile CRM: a full comparison and which to choose

If you are weighing up HubSpot and Agile CRM, you are probably after what most teams want: one CRM that covers sales, marketing and customer service without paying for three separate tools. Both make that promise, but not at the same level. Agile CRM covers the basics at low cost for small teams; HubSpot offers a deeper, more reliable platform built to keep up as you grow.

Quick verdict: Agile CRM can work for a micro-business that wants a lot for little and accepts its limits. For any company that intends to grow, with marketing that drives demand, a sales team that needs trustworthy data and connected customer service, HubSpot is the better choice: more functional depth, built-in AI with Breeze, proper reporting and a far larger integration ecosystem.

What are Agile CRM and HubSpot?

Agile CRM launched in 2013 as an all-in-one CRM for small and mid-sized businesses. A single web app brings together contacts, companies, deals and tasks with marketing automation, landing pages, a simple helpdesk, telephony and sales gamification. It has a free plan and three paid editions that raise limits and unlock features.

Its typical customer is a start-up, a professional practice or a small business that wants to try automation without a big investment and is happy to configure the CRM itself.

HubSpot is a customer platform built on a single CRM, Smart CRM, with several products on top: Marketing Hub, Sales Hub, Service Hub, Content Hub, Data Hub and Revenue Hub. Breeze, its AI layer, runs across the whole platform. It is used by teams of three and by companies with hundreds of users, and its key strength is that everything shares the same customer record.

Which has the better customer database?

Agile CRM organises information into contacts, companies, deals, tasks, events and documents, with custom fields and heavy use of tags for segmentation. That is enough for a simple sales model, but tags tend to multiply and become hard to govern.

HubSpot starts with standard objects (contacts, companies, deals, tickets, leads, products, quotes) linked by labelled associations, with calculated properties, validation rules and deduplication tools. On Enterprise editions you can create custom objects to model subscriptions, properties or projects without bending the standard objects. That flexibility makes all the difference once the business gets more complex.

Sales: pipeline, follow-up and forecasting

Agile CRM offers staged pipelines, deal tracking, two-way email sync on paid plans, open tracking, appointment scheduling and leaderboard-style gamification that some teams find motivating. Two-way telephony and call recording come with the higher editions.

Sales Hub covers all of that and adds layers designed for growing teams: follow-up sequences, meeting links, templates and snippets, quotes, forecasting, playbooks, calling with recording and a prospecting workspace that organises each rep’s day. Some features depend on the edition, so check the product page before you decide.

Is Agile CRM enough for marketing automation?

To get started, yes. Agile CRM includes a visual campaign workflow builder, emails, forms, landing pages, website pop-ups, social monitoring and SMS. The number of workflows and automation rules is capped by plan, and user reviews often mention deliverability issues and inflexible templates.

Marketing Hub is in a different league. Emails, forms, landing pages, workflows, lead scoring, dynamic segmentation, ads, social and, above all, revenue attribution: you can see which campaigns produce closed-won deals, not just clicks. Add Content Hub and you get your website, blog and content on the same database.

Before

  • Campaigns capped by plan
  • Basic marketing reports
  • Tags as the only segmentation
  • Doubts about deliverability

After

  • Workflows on any object
  • Revenue attribution by channel
  • Active lists and lead scoring
  • Mature email infrastructure

Customer service: Agile’s helpdesk vs Service Hub

Agile CRM’s helpdesk lets you manage tickets, group and label them, use canned responses and create views. For a low volume of email enquiries it is practical, and it comes in the same product.

Service Hub adds what a scaling support team needs: a unified help desk inbox across email, chat and other channels, SLAs, routing, a knowledge base, a customer portal, satisfaction surveys and Breeze’s customer agent, which answers queries using your knowledge base. All of it sits on the same contact record your sales team sees.

Automation and AI: Breeze vs Agile CRM

In Agile CRM, automation combines simple triggers with campaign workflows, with limits that grow by edition. It handles the usual cases, such as assigning a deal, creating a task or sending an email when something changes.

HubSpot workflows run on contacts, companies, deals, tickets and custom objects, with branches, delays, webhooks and, on higher editions, custom code actions. On artificial intelligence the gap is wider still. HubSpot includes Breeze Assistant in every subscription and offers AI agents for customer service, prospecting and data analysis, plus record enrichment features. We have not found comparable generative AI features in Agile CRM’s public documentation.

Reporting and analytics

Agile CRM includes basic and email reports and, on the top edition, team reports, with configurable dashboards. That is enough to track sales activity, but several users note it falls short when they want to combine marketing and sales data.

HubSpot offers custom cross-object reports, role-based dashboards, forecasting, funnels and attribution. Leadership can follow the journey from first visit to renewal on one dashboard, without exporting anything to spreadsheets.

Integrations and API

Agile CRM has an API, a Zapier connection and syncs with Google, Shopify and Stripe, among others. The number of active integrations depends on your plan, and its catalogue is much smaller than those of the leading platforms.

HubSpot has one of the largest app marketplaces in the industry, well-documented APIs, webhooks, private apps and UI Extensions for building inside the CRM itself. When an integration does not exist, it can be built properly. That is what we do every day through our HubSpot integrations service.

Which is easier to use?

Agile CRM packs many features into one interface, which feels appealing at first. Over time, reviews mention an interface that feels dated, occasional slowness and bugs that force workarounds. In a sales team, every bit of friction turns into data that never gets logged.

HubSpot is known precisely for how easily teams adopt it: a consistent interface across hubs, a full mobile app and HubSpot Academy, with free role-based training. Adoption decides whether a CRM works, and here HubSpot starts well ahead.

Implementation and total cost of ownership

Agile CRM is priced per user, with a free plan and three editions that increase contacts, workflows, integrations and API calls; features such as full telephony and role-based access sit in the higher editions. HubSpot offers free tools and Starter, Professional and Enterprise editions per hub or as a bundle, with per-seat licences and credits for AI features.

The licence fee is only part of the story. Add the hours your team loses to bugs and workarounds, the extra tools you will need to plug gaps, data clean-up and, above all, the cost of a second migration if the CRM falls short in two years’ time. Compare the official HubSpot pricing and Agile CRM pricing pages. If you are also looking at low-cost or open-source options, our HubSpot vs Vtiger comparison may help.

Support, community and partners

Agile CRM offers email support on the free plan, phone support on paid plans and an account manager on the top edition. Its community and partner network are small, and reviews of its support are mixed.

HubSpot combines edition-based support with a very active community, HubSpot Academy and a global network of certified partners. At Vexco we are a HubSpot Diamond Solutions Partner rated 4.9/5 in HubSpot’s directory, with consultants and developers working in the same team.

Security, GDPR and EU data hosting

HubSpot lets you host your account data in its EU data centre in Frankfurt, provides a data processing agreement and includes tools to record lawful basis, manage consent and handle deletion requests. User permissions can also be set in detail by tool and by action.

For Agile CRM, we have not found clear public information on hosting data in the EU, and role-based access controls are only available on the top edition. If GDPR matters to you, ask for the data location and the processing agreement in writing before deciding.

When could Agile CRM make sense?

Agile CRM has genuine strengths, and there are cases where it fits:

  • You are a sole trader or micro-business on a very tight budget and want a CRM, emails and a basic helpdesk in one tool.
  • You want to try marketing automation with no commitment before investing in a platform.
  • Your volume of contacts and tickets is low and you do not expect significant growth.
  • You have someone with the time and technical skills to work around limits and bugs as they come up.

If that sounds like you, Agile CRM is a reasonable place to start. Just bear in mind that if the business grows, a migration will come sooner or later.

Verdict: why HubSpot wins

  1. A real platform, not a bundle of lightweight modules. Marketing, sales, service and content share the same CRM and have the depth a growing company needs.
  2. Reliability and adoption. A stable, easy tool means your team actually logs its activity, and without data there is no CRM.
  3. Useful AI from day one. Breeze helps you write, summarise, prospect and serve customers inside the CRM.
  4. Reporting and attribution. You will know which campaigns, reps and channels generate revenue, not just activity.
  5. Ecosystem and integrations. Connecting invoicing, e-commerce or telephony is faster and safer.
  6. Lower total cost over time. Fewer add-on tools, fewer workarounds and no second migration when the business grows.

How to migrate from Agile CRM to HubSpot

It is a manageable migration if it is well planned. This is the order we follow:

  1. 01Inventory of data and automations
  2. 02CSV export and API
  3. 03Field and tag mapping
  4. 04Test load and validation
  5. 05Cut-over and workflow rebuild
Fig. 3 The five phases of an Agile CRM to HubSpot migration.
  • Objects: contacts, companies and deals are exported as CSV from Agile CRM; notes, tasks, events and tickets usually need the API. In HubSpot they become contacts, companies, deals, tasks, meetings and tickets, with their associations.
  • Properties: each custom field becomes a property of the right type. Do not carry tags over as they are: group them into select properties or lists.
  • Pipelines: deal stages are recreated in HubSpot and mapped one by one, reviewing probabilities and closed stages.
  • History: decide which past activity is worth keeping and with which date, so the timeline makes sense.
  • Integrations: list everything connected to Agile CRM (forms, Zapier, e-commerce) and reconnect it to HubSpot before cut-over.

The usual mistakes are always the same: duplicates from emails typed differently, mixed date formats, unmapped owners and, most serious of all, losing the unsubscribe status of contacts who do not want your emails. If you are also considering open-source alternatives, see our HubSpot vs SuiteCRM comparison. And if you would rather we handled it, our HubSpot migration team takes care of the whole process, including testing with real data.

FAQs

What clients ask us before we start

Is Agile CRM free?

Agile CRM has a free plan with limits on contacts, automations and integrations, plus three paid per-user editions that unlock more capacity and features such as telephony and role-based permissions. HubSpot also offers free tools and paid editions per hub. Always check the official pricing pages, as they change.

Which is better, HubSpot or Agile CRM?

For a micro-business on a very tight budget, Agile CRM may be enough. For a company that wants to grow with marketing, sales and service on a single database, with reliable reporting, built-in AI and a wide integration ecosystem, HubSpot is the better choice.

Does Agile CRM have AI features?

We have not found generative AI features in its public documentation comparable to Breeze, HubSpot’s AI layer, which includes an assistant for every user and agents for customer service, prospecting and data analysis.

How do you migrate from Agile CRM to HubSpot?

Contacts, companies and deals are exported as CSV, notes, tasks and tickets are retrieved through the API, fields and tags are mapped to HubSpot properties and automations are rebuilt. The trickiest parts are preserving email consent status and avoiding duplicates.
